The revolution in business process automation

SoftPoint s.r.o. in close cooperation with GAMO a.s. implemented its application for automation and management of invoicing flows Flowis in the multinational corporation Johnson Controls. The application was successfully deployed in a cloud environment and customized for a company operating in up to 160 countries worldwide.

The multitenant platform has literally revolutionized the management of financial processes of a multinational corporation. The revolutionary technology has completely changed the way invoices have been processed so far.
The innovative solution enables large corporations, as well as smaller and medium-sized companies, to automate and standardize their financial processes. A single version of the application enables efficient and secure sharing of the same resources and serves multiple clients at the same time. At the same time, each client has access to its own configurations and data. Today, the application automates the processing of more than 200 thousand invoices per month, with over 12,000 users actively using it.

“We wanted to meet the client’s expectations, so we were looking for a partner who could help us design the architecture of the application and create a reliable, flexible and secure environment for it in Microsoft Azure,” says Ing. Peter Jakubík, managing director of SoftPoint, s.r.o.

Previous positive experiences with Microsoft licensing therefore led SoftPoint to partner with GAMO. Despite never having implemented such a large-scale implementation before, GAMO engineers, together with the SoftPoint project team, deployed the application into the cloud environment successfully.

First, they created two separate Kubernetes installations in the Azure cloud. One was to test the application, the other was to create a production environment, both of which included configuring kubernetes, storage, creating and setting up databases, SSL certificates, networking, backups, and setting up basic monitoring of the environment.

This was followed by final tuning and preparation for live operation for the end client.

“It wasn’t easy, we had to adapt to the client’s requirements, the possibilities of the cloud environment, and our capabilities. In the end, however, thanks to close cooperation with specialists from GAMO, we tuned the functionality of the application to the maximum possible level,” explains Peter Jakubík. “We have learned to use the cloud environment to such an extent that we can now manage it independently, in our own capacity.”

After a successful implementation with its first large client, Flowis has expanded to three other multinational corporations and dozens of smaller and medium-sized companies around the world. Thanks to its exceptional configurability, each organization can tailor the platform, and thus the business processes, to its own needs.

And what does Flowis bring in practice?

Automation in invoice processing
By deploying into the Johnson Controls invoicing system, where approximately 100,000 invoices are processed per month, the integrated platform has enabled full automation of workflows, from receiving and scanning documents, approvals, posting, to actual payments. It has thus increased the efficiency and uniformity of the entire process.
The application automates the process of reading invoices that arrive at the company in various forms, uses machine learning models to extract information, and ensures approval processes (automatic matching of invoices, orders and stock receipts) through workflow management. Automating work in different accounting systems and standardising processes is also an important part of this. This ensures consistency in the invoice approval process regardless of country or accounting system.

Current company-wide overview
The speed of invoice processing and validation is a key benefit. Invoices that go through the revolutionary system are scanned and validated simultaneously within a day. Validation involves comparing the data on the invoices with the data in the accounting systems, in order to identify and clean up duplications or incomplete and erroneous data or incorrect prices.
The system is an essential tool for tracking the financial development of a company in a period of constantly changing prices for materials and products. It enables management to react promptly and proactively manage profitability. The functionality of the application provides an instant overview of the status of invoices, planned cash flow as well as the financial situation of the entire organization.

Azure managed services are key
Flowis uses Azure managed services as a critical part of its infrastructure. It ensures seamless operation and management of the system.
